Timesheets

Timesheets for Office or Field employees all in one place. Office staff can use a desktop or mobile device to track hours. Foremen can check crews in/out, assign cost codes (even multiple cost codes), and approve weekly timesheets with an onscreen digital signature – all verified by GPS. Quick exports make for easy import into accounting systems.

Creating New Timesheets

1. From the List View or Weekly Timesheet screen click the + button located on the bottom toolbar.

Check Yourself In

1. Select a Work Date and press the save button
2. Select a Project & Cost Code
3. Select Start Time/End Times
4. Select Approvals and Sign your time record.
Note: If you are checking in a Crew please complete the Check your Crew In steps below first & then complete your own Time Record. Fill out all the details on your Time Record that you would like to be pre-populated for each employee on your Current Crew & click the Save button.

Check Your Crew In

1. Once a Time Record has been created and saved. A Related Menu button will appear in the bottom toolbar.
2. Select the Related Menu button from the bottom toolbar.
3. Select the Crew button which will present a new screen with 3 tab sections.
4. Current Crew: This tab will present the current employees that are assigned to the Timesheet.
5. Employees: This tab is a listing of all active users in the system. Click the circle to add the employee to the current Time Record.
6. Crews: This tab is a listing of all pre-selected crews which can be assigned to the Time Record by pressing the + button. Please note that you can view the members of the pre-selected crew by pressing the button to the left of the +.
7. Return to your current Time Record.
8. Fill out all the details on your Time Record that you would like to be pre-populated for each employee on your Current Crew & click the Save button.
9. To update the Cost Code & Work Times for your crew select the Crew Details button on the bottom of the Basic Tab and the crew details popup will appear.
10. Select the Cost Code & Work Times for your crew and click the Update button on the lower left hand side of the toolbar. Note: The delete button to the left of the update button will delete all your crews associated time records (Records that would be updated if you pressed update.)
Notes:
1: To add employees to your crew repeat steps 2-10 above. This will create the new Time Records for each crew member and update all pre-populated information
2: If you make changes to individual time records for your crew members & decide to mass update your crews details at a later time it will override the individual changes.

Approve Your Time (Two options)

  1. From each individual Time Record select the Approvals Tab.

2. Appropriately approve and Sign your Time Record.
3. From the Weekly Timesheet view.
4. Select the Pen button in the bottom toolbar.
5. Sign the Timesheet for the week & click the Save Signature button.
Note: By signing from the Weekly Timesheet view - you are approving all the Time Records for the week.
Note: All signed Time Records will have a green background on the edit button & unapproved records will have a gray background.
